Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to support the Code Enforcement Division in California. This opportunity is well suited for someone who enjoys public-facing administrative work and can help keep departmental operations organized, responsive, and efficient. The role provides essential support to staff by coordinating records, communications, scheduling, and case-related documentation in a local government setting.
Responsibilities:
• Support daily administrative activities for the Code Enforcement Division and assist team members with operational tasks.
• Respond to questions from residents, businesses, and property owners by phone, email, and in person, providing clear information on cases, permits, and municipal regulations.
• Maintain accurate case documentation, update databases, and monitor tracking systems to keep records current and organized.
• Draft and prepare notices, letters, reports, and other written materials for departmental use.
• Arrange inspections, meetings, and appointments while helping manage calendars and follow-up communication.
• Receive complaints, document relevant details, and direct matters to the appropriate staff or department for action.
• Organize filing, records retention, and document management processes to support compliance and accessibility.
• Enter case-related information into city software applications and assist with compiling agendas, reports, and supporting documentation.
• Work collaboratively with internal departments, contractors, residents, and property owners to help coordinate administrative needs and case activity.
Qualifications:
• Prior experience in an administrative support role, ideally within local government, community development, planning, building and safety, or code enforcement.• Strong customer service skills with the ability to communicate professionally with the public and internal stakeholders.
• Proficiency with Microsoft Office applications and experience working with databases or record-tracking systems.
• Ability to handle sensitive or confidential information with sound judgment and professionalism.
• Excellent organizational skills with strong attention to accuracy and detail.
• Capacity to manage multiple priorities, stay organized under deadlines, and perform effectively in a busy office environment.
• Experience with administrative office support, inbound call handling, data entry, and front desk or receptionist-related responsibilities.
Compensation
