Scheduling Coordinator
Responsibilities:
• Manage daily scheduling activities for fire protection service and installation work, ensuring customers, subcontractors, and field staff receive accurate timing and status updates.
• Maintain precise job and customer information within company systems, regularly reviewing records for completeness and accuracy.
• Respond to changes in technician availability or job progress by adjusting schedules and communicating updated plans to all affected parties.
• Source required parts and materials for assigned work orders so projects can move forward without unnecessary delays.
• Prepare customer pricing information, including service estimates and budget details, with careful attention to scope and accuracy.
• Support customer satisfaction efforts by organizing follow-up outreach, documenting feedback, and sharing relevant updates with management.
• Perform a range of office support duties such as document preparation, copying, mail handling, file maintenance, and meeting note capture.
• Assist with coordination across service areas such as fire sprinkler, extinguisher, backflow, hood suppression, and fire alarm work as needed.
Qualifications:
• Previous experience in administrative support, scheduling, dispatch coordination, or office operations is required.• Strong organizational skills with the ability to manage competing priorities and maintain accuracy under changing conditions.
• Excellent verbal and written communication skills for effective business-to-business interactions.
• Demonstrated problem-solving ability and sound logistical judgment in a service-driven environment.
• Proficiency with Microsoft Office applications and confidence working in digital operational systems.
• High attention to detail, dependable follow-through, and the ability to work both independently and collaboratively.
• A detail-oriented demeanor, strong work ethic, and effective listening skills are essential.
• Ability to successfully complete pre-employment screening requirements, including drug testing and background checks.
