Sr. Administrative Assistant
Responsibilities:
• Manage complex calendars, coordinate meetings, and arrange conference calls to keep leadership schedules organized and efficient.
• Plan and oversee domestic and international travel arrangements for team members and guests, including itinerary preparation and related logistics.
• Support administrative operations by handling documentation, tracking action items, and ensuring timely follow-up on priorities.
• Coordinate firm events and internal gatherings throughout the year, managing details from planning through execution.
• Prepare, organize, and maintain business records, including materials related to export and import documentation when needed.
• Conduct research and contribute ideas for process improvements, operational projects, and special assignments.
• Assist with developing and refining office procedures to improve consistency, service, and workflow efficiency.
• Provide occasional front-desk and reception coverage while maintaining a detail-oriented experience for visitors and callers.
Qualifications:
• Bachelor’s degree required, with a strong academic record and a minimum GPA of 3.25.• At least 5 years of administrative experience in a fast-paced, detail-focused setting.
• Proven ability to manage calendars, travel coordination, and executive-level administrative support with accuracy and discretion.
• Availability to work standard Monday through Friday office hours and maintain a consistent onsite presence.
• Willingness to make a long-term commitment, with the expectation of remaining in the role for at least two years.
• Hands-on experience using AI productivity tools such as ChatGPT, Copilot, or Claude to improve workflow and efficiency.
• Ability to demonstrate practical use of AI solutions for automating routine tasks, summarizing information, or supporting business decisions.
Compensation
