Office Manager
Responsibilities:
• Oversee routine office activities to ensure administrative workflows remain efficient, organized, and responsive to business needs.
• Process vendor invoices, monitor outgoing payments, and maintain accurate accounts payable records and supporting documentation.
• Prepare customer billing, record incoming payments, and track accounts receivable activity to support timely collections and cash application.
• Assist with month-end financial tasks by updating reports, reviewing accrual-related items, and helping reconcile balances and true-up entries as needed.
• Coordinate payroll inputs and related records to support accurate employee compensation and compliance with reporting requirements.
• Manage contract files, maintain organized business documentation, and assist with administrative follow-up tied to vendor and service agreements.
• Support human resources administration by helping with onboarding logistics, orientation for new team members, employee records, and general HR coordination.
• Handle front office responsibilities such as greeting visitors, answering inquiries, ordering supplies, and arranging travel or other operational needs.
Qualifications:
• At least 3 years of experience in a position that combines accounting, office administration, or business support responsibilities.• Working knowledge of accounts payable, accounts receivable, invoicing, billing, payroll coordination, and related financial recordkeeping.
• Ability to manage multiple deadlines with strong attention to detail and a high level of organization.
• Experience using Microsoft Excel for tracking, reporting, and maintaining accurate business data.
• Familiarity with employee onboarding, HR administrative support, and handling confidential information appropriately.
• Strong written and verbal communication skills with the ability to interact professionally across departments and with external partners.
• Comfortable supporting reception and general office operations in a fast-paced workplace.
