Facilities Coordinator
Position Overview
A well-established real estate company in Poughkeepsie, NY is seeking a highly organized and proactive Facilities Coordinator to support the day-to-day operations of its commercial and residential property portfolio. This role is responsible for coordinating maintenance activities, managing vendor relationships, tracking facility-related projects, and ensuring properties are maintained to the highest standards. The ideal candidate will possess strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Coordinate routine and emergency maintenance requests for multiple properties
- Communicate with tenants, vendors, and property management teams regarding facility needs
- Schedule and oversee repairs, preventative maintenance, inspections, and service appointments
- Maintain accurate records of work orders, contracts, invoices, and service reports
- Monitor vendor performance and ensure service level expectations are met
- Assist with obtaining vendor quotes and managing maintenance budgets
- Conduct property inspections and identify facility-related concerns
- Track compliance with safety regulations and building requirements
- Support office moves, renovations, and special facilities projects
- Process vendor invoices and assist with expense tracking and reporting
- Respond to tenant inquiries and resolve facility issues in a professional manner
- Provide administrative support to the property management and operations teams
Qualifications:
Qualifications
- Associate's or Bachelor's degree in Business, Property Management, Facilities Management, or a related field preferred
- 2+ years of facilities coordination, property management, operations, or maintenance experience
- Experience within real estate, commercial property management, or residential property management preferred
- Strong proficiency with Microsoft Office Suite, including Excel and Outlook
- Excellent organizational, multitasking, and problem-solving skills
- Strong customer service and communication abilities
- Ability to work independently and manage competing priorities
- Experience with work order management systems is a plus
Schedule
- Full-time
- Monday through Friday
- Standard business hours with occasional flexibility for urgent property issues
Compensation
