Sr. Administrative Assistant
Responsibilities:
• Deliver senior-level administrative support to Partners, Managing Directors, and designated business teams, while helping manage evolving day-to-day priorities.
• Coordinate complex calendars in Microsoft Outlook, balancing scheduling conflicts, urgent requests, and meetings involving multiple internal and external participants.
• Arrange domestic and international travel plans, including lodging, transportation, detailed itineraries, and timely adjustments when plans change.
• Prepare, submit, and reconcile expense reports through Concur in line with company policies and reporting deadlines.
• Participate in front-desk coverage by welcoming guests, answering incoming calls, and maintaining a detail-oriented reception experience.
• Organize in-office meetings by securing conference space, coordinating audiovisual needs, arranging catering, and preparing meeting materials.
• Maintain orderly digital and physical records, including shared files and documentation, with a high level of accuracy and attention to detail.
• Contribute to office operations by monitoring common-area supplies, supporting kitchen upkeep, and helping maintain a clean and functional workspace.
• Assist with special assignments and cross-functional administrative initiatives that support business operations across the firm.
Qualifications:
• At least 5 years of experience in a similar administrative support role, preferably within a fast-paced corporate setting.• Strong proficiency with Microsoft Outlook, Excel, Word, DocuSign, and Adobe Acrobat.
• Demonstrated ability to manage calendars, travel arrangements, conference logistics, and administrative coordination with minimal supervision.
• Excellent written and verbal communication skills, with the ability to interact effectively across all levels of an organization.
• Highly organized, with the ability to manage multiple deadlines and shifting priorities effectively.
• Sound judgment and discretion when handling confidential, sensitive, or time-critical information.
• Proven ability to remain adaptable, composed, and solutions-focused in a demanding financial services environment.
Compensation
