We are seeking a professional, dependable Reception & Security Specialist to serve as a welcoming first point of contact for visitors and employees while ensuring compliance with physical security, CUI safeguarding, and personnel security protocols required for Federal Contractors and company policy.
This role is key to maintaining safe, secure, compliant, and efficient operations at our headquarters facility.
Key Responsibilities
Reception & Visitor Access Management
- Serve as the primary presence at the headquarters reception area, professionally greeting employees, executives, clients, and visitors professionally.
- Check in and verify visitors in accordance with access control and security procedures.
- Maintain visitor logs and issue badges; oversee compliance with badge policies.
- Coordinate with internal staff regarding scheduled meetings and guest access needs.
- guide visitors, contractors, and vendors as required.
- Manage mail, packages, and deliveries; maintain an organized, secure front desk area.
- Serve as guide to visitors when required.
Security Specialist Responsibilities (CUI, ITAR, Personnel Security, Access Control)
- Support onboarding of new employees, including badging, access setup, and security briefings.
- Verify identification, and clearance status when required, in alignment with applicable requirements and company policy.
- Manage and track facility keys, badges, and access credentials.
- Train employees on basic security awareness, CUI requirements, and insider threat procedures.
- Enforce access control protocols for restricted and controlled areas, ensuring compliance with CUI and distribution marking guidelines.
- Support documentation control, safeguarding procedures, and handling of sensitive materials
- Monitor facility entry points and security systems.
- Support Facility Security Officer when necessary.
- Support employee foreign traveler safety requirements
- Support foreign national visitor preparation requirements including the development of Technology Control Plans for foreign nationals/ITAR.
- Conduct incident reporting and documentation for security-related events.
- Utilize, maintain, and update badging system, including door access controls, and employee communication systems.
- Develop and maintain visitor access and badging policies and procedures.
Facility, Safety, and Emergency Response Support
- Coordinate with building management and local authorities on facility access and safety matters.
- Support emergency response protocols, including drills and real-time incidents
- Coordinate site safety and emergency training, such as CPR/FA, fire drills, etc.
- Serve as a point of coordination during emergency situations involving safety, weather, fire, or medical concerns.
- Document security or emergency incidents appropriately.
- Provide general administrative support such as office supply coordination, restocking, and safety equipment inspections.
Qualifications
- High school diploma or GED required; some college preferred.
- 3+ years of experience in a corporate, government, defense, or similar environment, with exposure to security or administrative responsibilities.
- Experience in a front-facing, customer-service-oriented role strongly preferred.
- Ability to represent the company in a positive and professional manner.
- Interest and capacity to learn assistant facility security responsibilities.
- Familiarity with DoD security procedures, NISPOM, company sensitive, and/or CUI handling requirements.
- Ability to obtain CPR/First Aid certifications.
- Strong judgment, calm demeanor, and ability to manage sensitive information discreetly.
- Comfortable working with security systems, access control tools, and new technologies.
- Proficient in Microsoft Office Suite.
- Excellent communication skills, written and verbal, ability to manage multiple priorities and stay organized, and strong attention to detail.
- Acts with integrity, works collaboratively, and supports continual improvement.
- Demonstrated reliability, and willingness to support wherever needed.
