Administrative Assistant
Responsibilities:
• Coordinate front office activities by welcoming visitors, answering incoming communications, and directing questions to the appropriate staff members.
• Prepare, update, and organize student, staff, and departmental records with a high level of accuracy and confidentiality.
• Maintain attendance information, monitor reporting needs, and escalate attendance concerns in accordance with school and state guidelines.
• Schedule meetings, conferences, and school events while managing calendars and ensuring participants receive timely information.
• Draft emails, letters, reports, and other office documents based on verbal direction or written instructions.
• Process incoming and outgoing mail, support general office workflows, and keep files and documentation current and accessible.
• Track office and classroom supply needs, place orders, and help maintain appropriate inventory levels.
• Assist with basic bookkeeping tasks, including fee collection, transaction handling, and related record maintenance.
• Support student health office functions by maintaining medication logs and assisting with health office administrative duties in line with school policy.
• Use office equipment and administrative software effectively to complete data entry, document management, and daily clerical assignments.
Qualifications:
• At least 3 years of experience in administrative support, office coordination, or a similar clerical role.• Demonstrated ability to manage records, data entry, and document preparation with strong attention to detail.
• Experience handling phone calls, greeting visitors, and providing attentive front desk or receptionist support.
• Working knowledge of attendance tracking, reporting processes, and general office compliance practices.
• Strong written and verbal communication skills, including the ability to compose clear correspondence.
• Ability to prioritize multiple tasks, remain effective during interruptions, and adapt to shifting daily needs.
• Proficiency with standard office equipment and common administrative software applications.
• Ability to handle sensitive student, staff, and business information with discretion and care.
Compensation
