Administrative Assistant
Responsibilities:
• Provide high-level administrative support to executive leadership, including preparing correspondence, reports, meeting materials, and other business documents.
• Coordinate calendars, meeting requests, travel plans, and lodging arrangements to ensure efficient scheduling and execution of leadership activities.
• Welcome visitors, respond to incoming inquiries, and route questions to the appropriate team members or departments.
• Record meeting notes, assemble agendas, and support board, committee, and executive meetings with accurate documentation and follow-through.
• Monitor budgets, process purchase orders and invoices, and work with internal teams to help maintain compliance with financial procedures.
• Track operational requests such as bids, estimates, work orders, and vendor documentation while helping move projects forward in a timely manner.
• Order, manage, and distribute office and operational supplies, including items needed across multiple locations.
• Support hosted meetings and special events by handling logistics, room preparation, hospitality, and communication details.
• Maintain organized files, update mailing lists, process incoming and outgoing mail, and operate standard office equipment as needed.
• Travel to sites when necessary to assist with deliveries, meeting setup, or project-related coordination.
Qualifications:
• 2+ years of experience in an administrative assistant, office support, receptionist, or similar role.• Demonstrated ability to manage inbound calls, front-desk interactions, and general administrative office responsibilities.
• Strong written and verbal communication skills with the ability to interact professionally with leadership, staff, visitors, and vendors.
• Experience with data entry, document preparation, scheduling, and maintaining organized records.
• Ability to handle multiple assignments at once while maintaining accuracy, discretion, and attention to detail.
• Comfortable supporting budget-related administrative tasks such as invoice processing, purchase orders, and expense tracking.
• Proficiency with standard office technology and business software used for communication, scheduling, and document management.
