Legal Secretary
Responsibilities:
• Support litigation attorneys by handling a broad range of administrative and case-related tasks essential to daily legal operations.
• Coordinate logistics and documentation for hearings, depositions, mediations, arbitrations, trials, and client or internal meetings in a high-volume practice setting.
• Prepare and format legal documents such as pleadings, discovery materials, briefs, reports, and correspondence from dictated or draft content with a high degree of accuracy.
• Maintain orderly client matter files by organizing, updating, and retrieving both electronic and paper records as needed.
• Track court dates and procedural deadlines, ensuring calendars and docketing systems remain accurate and current.
• Manage state and federal court filings, including electronic submissions and related filing records, in compliance with procedural requirements.
• Handle confidential legal and client information with sound judgment, care, and discretion at all times.
• Balance multiple priorities efficiently, provide backup coverage for team members during absences, and assist with additional assignments or overtime when business needs require it.
Qualifications:
• At least 5 years of recent litigation support experience in a law firm setting; defense litigation background is preferred.• Strong understanding of litigation workflows, court procedures, and legal secretarial practices, with excellent grammar and proofreading ability.
• Advanced proficiency with Microsoft Office applications, including Word, Outlook, and Excel.
• Demonstrated experience with electronic filing in both state and federal courts.
• Familiarity with document management systems, with preference for experience using iManage or a similar platform.
• Ability to communicate professionally with attorneys, clients, court personnel, and opposing counsel while seeking clarification when needed.
• Capacity to apply feedback constructively, manage standard office technology, and maintain a typing speed of at least 65 words per minute.
