Purchase Associate

We are looking for a Purchase Associate to support purchasing operations for a growing team in Batavia, Illinois. This Long-term Contract position focuses on maintaining accurate order and billing records, coordinating with buyers and vendors, and helping keep purchasing activities moving efficiently during a high-volume period. The ideal candidate is organized, attentive to detail, and comfortable working with spreadsheets and internal systems to verify information and resolve order-related issues.
Responsibilities: • Review supplier confirmations and compare them against purchase orders to ensure quantities, dates, pricing, and other details are accurate. • Enter and maintain purchase order and billing data in internal systems so records remain current and reliable. • Partner with buyers and vendors to confirm materials, shipment details, invoice information, and payment-related data. • Investigate mismatched or incomplete order information and work directly with the appropriate contacts to correct discrepancies. • Monitor delayed shipments, follow up on overdue deliveries, and update expected receipt dates when changes occur. • Track orders in transit and research missing transfers or customer shipments that have not arrived as planned. • Support coordination between purchasing and payroll-related processes when documentation or order details require alignment. • Use Excel and internal tools to organize files, update vendor and customer order information, and maintain data accuracy during a busy season.

Qualifications:

• At least 1 year of experience in purchasing support, buyer administration, or a related procurement-focused role. • Prior experience working with purchase orders and validating order details for accuracy and completeness. • Proficiency in Excel, including sorting, filtering, and saving files for ongoing record management. • Strong attention to detail with the ability to identify inconsistencies in orders, invoices, and shipment information. • Confidence communicating with vendors, buyers, and internal departments to resolve routine issues efficiently. • Self-motivated approach with the ability to stay organized and productive in a fast-paced environment. • Willingness to learn new internal systems and follow established purchasing procedures.

$22.16-$25.66 Hourly
