Office Manager

The Office Manager is responsible for overseeing the day-to-day administrative, operational, and facility functions of the office. This role serves as the central point of coordination for office operations, ensuring a professional, efficient, and client-focused environment. Essential Duties & Responsibilities
Office Operations & Administration
- Manage daily office operations to ensure efficiency and productivity.
- Maintain office policies, procedures, and administrative systems.
- Coordinate office maintenance, equipment, vendors, and facility-related needs.
- Order and manage office supplies, furniture, and equipment inventories.
- Oversee office budgets and control administrative expenses.
- Coordinate mail distribution, shipping, and document management processes.
Client & Employee Support
- Serve as the primary point of contact for visitors, clients, and vendors.
- Ensure a professional and welcoming office environment.
- Coordinate meeting logistics, conference room scheduling, and office events.
- Support onboarding and orientation of new employees.
- Assist leadership with administrative projects and special initiatives.
Financial & Vendor Management
- Process invoices, purchase orders, and vendor payments as assigned.
- Maintain vendor relationships and negotiate service agreements when appropriate.
- Track office expenditures and assist with budget reporting.
- Support billing, expense reconciliation, and other accounting-related administrative functions.
Human Resources & Compliance Support
- Assist with employee records management and HR administration.
- Coordinate employee recognition, wellness, and engagement activities.
- Support compliance with company policies and workplace regulations.
- Maintain confidentiality regarding employee and business information.
Technology & Systems Coordination
- Coordinate with IT vendors and internal resources regarding office technology needs.
- Troubleshoot basic office equipment issues and facilitate resolutions.
- Ensure employees have appropriate office resources and equipment.
Qualifications:
Qualifications
Education
- Associate's or Bachelor's degree in Business Administration, Management, or a related field preferred.
- Equivalent professional experience may be considered.
Experience
- 3+ years of office management, administrative management, operations, or related experience.
- Experience within a professional services environment (accounting, finance, legal, consulting, engineering, staffing, etc.) preferred.
Skills & Competencies
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams).
- Ability to prioritize competing demands and meet deadlines.
- Strong problem-solving and decision-making capabilities.
- Professional demeanor with exceptional customer service skills.
- Ability to maintain confidentiality and exercise sound judgment.
Compensation
