Accounts Payable/Receptionist
Responsibilities:
• Manage incoming mail and route correspondence and documents to the appropriate departments in a timely manner.
• Welcome callers and visitors while providing dependable front-desk and general administrative support.
• Review packing documentation and align receiving records with supporting materials before invoice processing.
• Enter supplier invoices, verify coding and backup documentation, and post accounts payable transactions accurately.
• Maintain vendor master records, including updates to payment details and required tax documentation.
• Prepare check runs, secure necessary approvals and signatures, and distribute payments according to schedule.
• Reconcile general ledger accounts, assist with month-end journal entries, and compile routine financial reporting.
• Process employee expense submissions and company card activity while researching and resolving discrepancies.
• Support year-end and compliance activities by preparing 1099 information and calculating and remitting applicable use tax.
• Contribute to quality and process improvement efforts, follow established procedures, and assist with additional accounting duties as assigned by management.
Qualifications:
• At least 1 year of experience in accounts payable, accounting support, or a similar administrative finance role.• Associate degree in accounting preferred, or equivalent practical experience in a related field.
• Working knowledge of invoice entry, payment processing, account reconciliation, and financial record maintenance.
• Ability to communicate clearly and professionally with internal teams, vendors, and external contacts.
• Proficiency with Microsoft Word and Excel, along with experience using spreadsheets and business software applications.
• Strong organizational skills with the ability to manage multiple tasks, maintain documentation, and meet deadlines.
• High level of accuracy, attention to detail, and confidence handling numerical data and resolving discrepancies.
• Experience supporting multi-line phone systems, mail handling, or front-desk reception functions is preferred.
Compensation
