Executive Assistant
We are looking for an Office Manager/ Executive Assistant to support daily office operations and help maintain a high standard of service for clients in White Plains, New York. This position combines executive support, team coordination, client communication, and financial administration in a fast-paced environment. The ideal candidate is organized, responsive, and comfortable managing multiple priorities while partnering with leadership, sales teams, and administrative staff.
Responsibilities:
• Lead and guide administrative team members, providing direction, oversight, and regular feedback on performance.
• Develop customized client proposals in collaboration with sales arborists, ensuring accuracy and timely delivery.
• Manage executive and team calendars, coordinate meetings and conference calls, and respond to incoming correspondence and information requests.
• Monitor key customer accounts, support receivables follow-up, and participate in collection efforts to improve outstanding balances.
• Facilitate recurring accounts receivable discussions and help drive next steps related to payment collection activities.
• Maintain customer records, process payments, create work orders, and support daily sales activity tracking and debriefs.
• Coordinate scheduling for client work, including appointment confirmations, notifications, and communication with internal teams.
• Oversee office operations such as payroll data gathering, supply purchasing, license renewal support, invoicing, budgeting, billing closeout, and general administrative assistance across departments.
Qualifications:
• Demonstrated experience in executive or senior-level administrative support within a busy office setting.• Strong calendar management skills with the ability to coordinate meetings, appointments, and competing priorities.
• Background in client communication, including clear email correspondence and follow-up with external stakeholders.
• Experience handling billing, accounts receivable support, payment processing, or related administrative finance tasks.
• Ability to supervise office staff, organize team workflows, and uphold customer service expectations.
• Proficiency with business systems used for scheduling, recordkeeping, document preparation, and reporting.
• Strong attention to detail and the ability to complete work accurately, efficiently, and with minimal supervision.
Compensation
