Administrative and Project Coordinator

Compensation: $70 to $75 Yearly

Robert Half has a new direct-hire opening for an Administrative/Project Coordinator in Columbia, MD. The Administrative Coordinator is responsible for keeping daily office and project administration running smoothly. This role provides administrative support to project managers, field teams, and leadership while ensuring documentation, scheduling, and communication are organized and accurate. The ideal candidate is proactive, adaptable, and thrives in a fast-paced construction environment.


Key Responsibilities

  • Provide administrative support to project managers and company leadership.
  • Prepare, organize, and maintain project files, contracts, permits, and other construction documentation.
  • Coordinate meetings, schedules, and calendars for project teams.
  • Process purchase orders, invoices, change orders, and subcontractor paperwork.
  • Track project deadlines and assist with document control.
  • Maintain vendor, subcontractor, and client records.
  • Coordinate new employee onboarding and maintain personnel files.
  • Answer incoming phone calls, respond to emails, and greet visitors professionally.
  • Order office supplies and maintain an organized office environment.
  • Assist with bid preparation, proposals, and project closeout documentation.
  • Support payroll and timecard collection for field employees as needed.
  • Ensure compliance with company policies and maintain confidentiality of sensitive information.
  • Perform additional administrative duties and special projects as assigned.



Qualifications:

Qualifications

  • High school diploma required; associate's degree or equivalent experience preferred.
  • 2+ years of administrative or office coordination experience, preferably in construction, engineering, or a related industry.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Experience with construction management software such as Procore, Buildertrend, Viewpoint, or similar platforms is a plus.
  • Ability to prioritize multiple deadlines in a fast-paced environment.
  • Professional demeanor with strong customer service skills.

Preferred Skills

  • Knowledge of construction terminology and project documentation.
  • Experience supporting multiple project managers simultaneously.
  • Familiarity with subcontractor compliance, certificates of insurance, and lien waivers.
  • Ability to identify process improvements and work independently with minimal supervision.



Compensation

$70,000.00-$75,000.00 Yearly
