Office Manager
Robert Half is partnering with an innovative and fast-growing technology company in South San Francisco that is seeking a highly organized Office Manager / Facilities Coordinator to oversee the daily operations of its Bay Area office. This is an excellent opportunity for an experienced administrative professional who enjoys creating an organized, welcoming, and efficient workplace while supporting employees, leadership, visitors, and vendors.

You will serve as the primary point of contact for office operations, facilities coordination, vendor management, and administrative support while helping ensure an exceptional workplace experience.
Responsibilities
- Manage the day-to-day operations of the office, ensuring workspaces, conference rooms, kitchens, and common areas remain fully stocked, organized, and operational.
- Monitor office, kitchen, and facility supply inventories; place orders, manage vendor relationships, and control purchasing costs while minimizing waste.
- Coordinate office maintenance, repairs, preventative maintenance, and facility improvements by partnering with building management and third-party service providers.
- Serve as the primary liaison with property management for office access, maintenance requests, building communications, and facility-related projects.
- Welcome and assist visitors, customers, and business partners while maintaining a professional front-office experience.
- Manage office security procedures, visitor access, and facility access logs.
- Coordinate incoming and outgoing mail, shipping, receiving, courier services, and logistics while identifying opportunities to improve efficiency and reduce costs.
- Maintain office equipment, including printers, conference room technology, HVAC coordination, and other workplace resources.
- Organize and maintain office records, administrative files, and documentation.
- Coordinate meetings, onsite events, customer visits, and company gatherings by preparing meeting spaces and supporting logistics.
- Provide administrative support to the leadership team and assist with special projects as needed.
- Continuously evaluate office processes and recommend improvements that enhance efficiency, employee experience, and operational effectiveness.
- Perform additional administrative and facilities-related duties as assigned.
Qualifications:
- 2+ years of experience in office management, office administration, facilities coordination, workplace operations, or a similar role.
- Experience supporting a professional corporate office, preferably within a technology, engineering, or fast-paced business environment.
- Strong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams or similar collaboration platforms.
- Excellent organizational and multitasking skills with exceptional attention to detail.
- Strong communication and customer service skills with the ability to interact professionally with executives, employees, visitors, and vendors.
- Self-motivated with the ability to prioritize work and operate independently with minimal supervision.
- Demonstrated ability to improve processes and solve problems proactively.
- Reliable, dependable, and adaptable in a changing environment.
- Experience coordinating vendors, shipping/receiving, facilities, or workplace services is highly preferred.
- Experience with Jira or Perforce is a plus.
Compensation
