Administrative Assistant
We are looking for an Administrative Assistant to support a sales-focused team in Spokane Valley, Washington. This position combines front office coordination, client communication, scheduling oversight, and preparation of detailed materials for meetings and presentations. The ideal candidate is highly organized, communicates with confidence, and thrives in a fast-moving environment where accuracy and discretion are essential.
Responsibilities:
• Serve as the first point of contact by managing incoming calls and creating a welcoming experience for clients and business partners.
• Support strong client relationships through prompt follow-up, clear communication, and careful handling of requests and documentation.
• Manage calendars for the sales team by arranging client appointments, internal meetings, and review sessions while resolving scheduling conflicts efficiently.
• Confirm meeting logistics in advance and help ensure appointments are fully organized with the necessary materials and preparation.
• Assist with coordination of seminars, appreciation events, and other client-focused activities to support engagement efforts.
• Create, organize, and finalize presentation packages, proposals, binders, and review materials intended for client meetings.
• Review account-related documents for completeness and accuracy before submission or distribution.
• Work closely with advisors and sales staff to ensure client materials reflect the intended strategy, messaging, and service standards.
• Maintain confidentiality at all times when working with sensitive financial and client information.

Qualifications:
• At least 3 years of administrative support experience, ideally within a services or client-facing office environment.
• Demonstrated background assisting sales staff, advisors, or other customer-facing team members in a fast-paced setting.
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
• Strong organizational abilities with careful attention to detail and consistent follow-through on tasks.
• Excellent verbal and written communication skills with a clear and courteous demeanor.
Compensation
