Position Summary:

The Operations Coordinator performs advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skills, and knowledge of organizational policies and practices.

Core Responsibilities:

  • Produce and distribute daily, weekly, and monthly metrics and PowerPoint presentations
  • Facilitate daily operations meetings and monthly site leadership meetings, documenting key metrics and issues and distributing them to team members or senior leadership as appropriate
  • Handle charges on the company credit card and create Concur expense reports
  • Oversee lab coats, act as the point of contact for the vendor, and manage Oracle requisitions and invoice receipts
  • Review and process all client credit requests in the Salesforce Incident Operational Review queue
  • Manage a complex calendar involving both internal and external executives and assistants, as well as consultants, to coordinate various executive and departmental meetings
  • Facilitate site tours for internal and external visitors, as requested
  • Assist with meeting planning as needed
  • Travel: Minimal (less than 10%)

Experience, Education and Qualifications:

  • High school diploma. Bachelor’s degree preferred
  • 3-5 years of administrative experience in a high-paced healthcare setting
  • Requires a high level of professionalism and integrity due to the frequency of senior-level internal and external contacts
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook with excellent calendar management skills
  • Detail-oriented, enthusiastic, self-directed, and well-organized individual with ability to multi-task
  • Excellent verbal and written communication skills


The Office Administrative Services focus specializes in coordinating daily activities of a business unit or department. Responsibilities may include the assignment of duties for secretarial, administrative assistants, and clerical staff, as well as the hiring and training of these staff.This role involves applying skills with increasing independence to handle semi-routine assignments, selecting from established procedures and performing occasional fact-finding, while working under moderate supervision with some judgment latitude, contributing primarily within the team and engaging in routine internal and external interactions.
