Administrative Assistant
Responsibilities:
• Support assigned team members with day-to-day administrative coordination, communication, and follow-up across individual and department activities.
• Manage executive schedules by arranging appointments, resolving conflicts, and adjusting priorities to keep meetings and commitments on track.
• Draft, edit, and format emails, memos, and other business communications for leadership and internal stakeholders.
• Coordinate travel plans, including flights, lodging, and ground transportation, while organizing receipts and related documentation for reporting purposes.
• Prepare expense reports, invoices, spreadsheets, and other routine administrative records with accuracy and timeliness.
• Organize meetings by scheduling attendees, securing conference rooms, and arranging catering or other event needs when required.
• Monitor office supply levels, place orders, and maintain an organized workspace that supports daily operations.
• Maintain electronic and paper filing systems, update departmental records or databases, and handle confidential information with discretion.
• Assist with presentation materials, special projects, and incoming and outgoing mail, including courier and express shipments.
• Distribute daily mail to team members and ensure packages receive appropriate handling and delivery coordination.
Qualifications:
• Previous experience in an administrative, office support, or executive support role.• Strong calendar management skills with the ability to balance changing priorities and deadlines.
• Proficiency in preparing business correspondence, reports, spreadsheets, and presentation materials.
• Experience coordinating travel arrangements and processing expense documentation.
• Ability to maintain accurate files, records, and databases in both digital and paper formats.
• Solid communication skills, including clear email correspondence and phone etiquette.
• Strong attention to detail, sound judgment, and the ability to manage confidential information responsibly.
• Comfortable supporting general office operations such as mail distribution, supply management, and reception-related tasks.
Compensation
