Sr. Executive Assistant
Responsibilities:
• Oversee executive calendars by arranging meetings, resolving scheduling conflicts, and ensuring leaders are prepared for daily commitments.
• Coordinate business travel from start to finish, including transportation, lodging, flight arrangements, and detailed itineraries for domestic and international trips.
• Create and organize presentations, reports, agendas, and written communications that support meetings and leadership initiatives.
• Maintain accurate and confidential records, files, and documentation in an orderly and accessible manner.
• Plan meeting logistics by securing rooms, arranging catering when needed, and confirming all materials and setup requirements are in place.
• Monitor deadlines, action items, and follow-up tasks to help executives stay aligned on priorities and deliverables.
• Review and submit expense reports, invoices, and related administrative paperwork with accuracy and timeliness.
• Act as a point of coordination between senior leaders, internal departments, and external contacts to support smooth communication.
• Contribute to special assignments and provide additional administrative support as business needs evolve.
Qualifications:
• At least 3 years of experience providing executive-level or senior administrative support.
• Strong working knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
• Excellent verbal and written communication skills with the ability to interact effectively across all levels of an organization.
• Demonstrated ability to stay organized, manage details carefully, and handle multiple priorities efficiently.
• Proven discretion when working with confidential or sensitive information.
• Strong interpersonal skills, sound judgment, and a detail-focused approach.
• Experience supporting senior executives, including complex scheduling and coordination across competing priorities.
• Familiarity with travel booking tools and expense management processes is preferred.
