Job Description:
This position is an Administrative Support Specialist to support the Strategic Initiatives Office within the Army Research Laboratory's Research Business Directorate (G9) in Adelphi, Maryland. The successful candidate will provide responsive clerical and operational support across office management, document preparation, scheduling, records management, communications, onboarding, and procurement activities. This position requires excellent organization, discretion, customer service, and attention to detail to improve team productivity and office efficiency. Remote work may be permitted when authorized by the customer and consistent with program requirements.
Essential Duties and Responsibilities:
- Provide day-to-day administrative support to the Strategic Initiatives Office and its personnel.
- Manage reception activities, answer and route incoming calls, greet visitors, and provide professional customer service.
- Type, format, edit, proofread, and finalize correspondence, reports, presentations, spreadsheets, and other office documents.
- Manage complex calendars, schedule meetings and appointments, coordinate participants, and resolve scheduling conflicts.
- Maintain an organization-wide strategic calendar, including key events, milestones, deadlines, and leadership engagements.
- Maintain accurate physical and electronic filing systems, records, trackers, and data repositories in accordance with office procedures.
- Monitor and respond to routine email inquiries, manage shared communications, and sort and distribute incoming mail.
- Monitor office supply levels, place authorized orders, maintain inventory records, and coordinate delivery and distribution.
- Support procurement activities, including documentation and tracking of authorized credit card transactions and coordination with the Government Purchase Card holder.
- Assist with new-hire onboarding, orientation, access coordination, and required training or administrative paperwork.
- Handle sensitive, proprietary, and personnel information with strict confidentiality and sound judgment.
- Track action items and administrative suspense dates and follow up with stakeholders to support timely completion.
- Perform additional administrative and operational duties as assigned in support of office and program requirements.
Job Requirements:
Experience and Expertise Required:
- Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, and related collaboration tools.
- Strong written and verbal communication skills with the ability to interact professionally with government customers, visitors, and team members.
- Demonstrated ability to organize and maintain calendars, records, files, correspondence, and administrative trackers.
- Working knowledge of office purchasing, budget tracking, procurement documentation, and supply inventory processes.
- Excellent time-management, prioritization, customer-service, and problem-solving skills.
- Strong attention to detail and the ability to produce accurate, polished work within established deadlines.
- Ability to work independently, exercise sound judgment, and manage multiple priorities in a fast-paced office environment.
- Ability to safeguard sensitive information and consistently maintain confidentiality.
- Ability to build and maintain effective working relationships across government and contractor teams.
- High School Diploma or equivalent required.
- Two to three (2-3) years of relevant administrative support, office management, or clerical experience.
- Active Tier 3 / Secret security clearance required at the time of hire and must be maintained throughout employment.
- Experience supporting procurement, purchase-card documentation, budget tracking, or office supply management is preferred.
- Experience supporting a federal government, Department of Defense, research, or other mission-focused organization is preferred.
Salary Range: The salary for this position is $19/hour. This range reflects the compensation Fibertek reasonably expects to offer for this role. Placement within the range will depend on factors such as the scope and responsibilities of the position, the candidate’s experience, education and training, key skills, and relevant market and business considerations.
