Executive Assistant

Compensation: $60 to $80 Yearly

We are looking for an experienced Executive Assistant to provide high-level support to executive leadership within a well-established organization in the Southern Tier of New York. This role will serve as a key partner to the President & CEO, coordinating business activities, managing priorities, and ensuring effective communication and organization across a variety of initiatives. The ideal candidate will be a proactive, organized, and detail-oriented professional with the ability to anticipate needs, exercise sound judgment, and provide seamless executive support.


Responsibilities:

• Provide comprehensive administrative support to the President & CEO, including calendar management, scheduling, meeting coordination, and correspondence

• Assist with preparation and organization of executive meetings, including agendas, materials, and follow-up communication.

• Prepare, edit, and organize internal and external communications, presentations, reports, and business documents

• Arrange business travel, including itineraries, accommodations, and transportation, while anticipating scheduling needs and changes.

• Maintain organized physical and electronic filing systems so records, documents, and reference materials remain accurate and accessible.

• Partner with external marketing and communications partners to help coordinate promotional content, newsletters, press announcements, and website updates.

• Track and support a range of administrative and special projects, ensuring deadlines are met and details are handled efficiently.

• Serve as a reliable point of contact for executive matters, working closely with internal stakeholders, clients, vendors, and external partners.

• Exercise discretion and sound judgment when handling confidential information while identifying opportunities to improve processes, organization, and overall administrative efficiency.

Qualifications:

• Minimum of 4–5 years of experience as an Executive Assistant, preferably supporting C-suite or senior executive leadership.

• Demonstrated ability to work independently while maintaining a high level of accuracy, professionalism, and attention to detail.

• Proven experience handling confidential and sensitive information with sound judgment, discretion, and integrity.

• Experience coordinating projects, events, executive communications, or cross-functional initiatives is preferred.

• Exceptional organizational and time management skills with the ability to prioritize competing responsibilities and meet deadlines in a fast-paced environment.

• Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

• Experience managing complex calendars, coordinating meetings, and arranging domestic and/or international travel.

• Excellent written and verbal communication skills with the ability to interact professionally across all departments and leadership levels.

• Experience supporting communications, presentation preparation, or marketing-related administrative activities is preferred.

• Bachelor's degree preferred, or an equivalent combination of education and relevant professional experience.


Compensation

$60,000.00-$80,000.00 Yearly
