Responsibilities:
• Support department planning activities by organizing business information, tracking operational and financial data, and helping identify areas for process improvement.
• Serve as a central point of contact between Facilities staff, service providers, and consultants to promote clear communication and timely issue resolution.
• Partner with internal teams to gather feedback, improve workflows, and enhance service delivery across shared processes.
• Maintain and update departmental procedures, policy-related documentation, and records tied to vendor and contractor compliance requirements.
• Coordinate administrative tasks such as expense documentation, scheduling support, on-call calendars, travel arrangements, and other operational logistics.
• Assist with maintenance-related administration, including support for both planned work and unplanned service activity tracking.
• Organize and help lead special assignments that may include lease-related coordination, small project support, and other department initiatives.
• Monitor reporting accuracy and ensure business records, summaries, and supporting documentation are complete and well organized.
Qualifications:
• Demonstrated experience coordinating business or administrative operations in a fast-paced environment.• Proven ability to manage several priorities or projects at the same time while maintaining strong attention to detail.
• Experience working across cross-functional teams and aligning efforts among multiple stakeholders.
• Strong communication, interpersonal, analytical, and problem-solving skills.
• Ability to work independently with limited supervision and make sound decisions in changing circumstances.
• Excellent organization, planning, and prioritization skills.
• Comfortable supporting personnel at multiple organizational levels, including senior leadership.
• A degree is preferred.
Compensation
