Workflow Coordinator (OSA)
Responsibilities:
• Receive and review incoming assignments from clients, confirm scope and expectations, and clarify instructions before work begins.
• Coordinate delivery timelines with requesters, balancing urgency with team capacity and proposing practical alternatives when turnaround expectations are not feasible.
• Organize and prioritize a steady flow of projects across the team, ensuring urgent requests are addressed appropriately while maintaining service standards.
• Monitor document formatting and proofreading quality, helping the team follow established standards and accepted reference materials.
• Provide day-to-day guidance on document production, quality control, and proofreading practices as a key point of contact for the team.
• Troubleshoot Microsoft Office and related document issues that affect production, escalating concerns when needed to keep work on track.
• Communicate promptly with management and clients regarding scheduling conflicts, production challenges, or deadline-related risks in a thorough manner.
• Support quality assurance efforts by reviewing completed work for accuracy, consistency, and alignment with client expectations.
Qualifications:
• Experience coordinating workflow, project intake, or document production in a deadline-driven environment.• Strong ability to prioritize multiple assignments and make sound decisions when urgent requests arise.
• Advanced proficiency with Microsoft Office applications and confidence resolving common software-related issues.
• Excellent proofreading and quality assurance skills with close attention to formatting, grammar, and consistency.
• Effective communication and negotiation skills for managing instructions, timelines, and stakeholder expectations.
• Detail-oriented client service approach with the ability to address issues clearly and diplomatically.
• Familiarity with standard proofreading practices and reference tools used in business document preparation.
Compensation
