Finance Specialist
We are looking for a Finance Specialist to support daily accounting operations for a Contract assignment based in San Luis Obispo, California. This opportunity is ideal for someone who is comfortable working in a fast-paced office environment and can step in quickly to help maintain accurate financial records and timely payment processing. The role focuses on invoice handling, data entry, vendor communication, and general finance support during a short-term staffing need expected to last 1-2 months, with potential for longer-term consideration.
Responsibilities:
• Review incoming invoices, confirm supporting details, and prepare items for accounts payable processing with accuracy and timeliness.
• Enter financial data into accounting systems and spreadsheets while maintaining organized and complete records.
• Communicate with vendors to address billing questions, clarify discrepancies, and support smooth payment activity.
• Assist with accounts receivable tasks as needed, including tracking incoming payments and updating related records.
• Reconcile financial information such as account activity and banking transactions to help ensure accurate reporting.
• Use tools such as Financial Edge, Excel spreadsheets with macros, Google Drive, and other finance resources to complete daily tasks efficiently.
• Code invoices appropriately and verify that transactions are aligned with internal accounting practices.
• Provide general administrative and operational support to the finance function during this contract coverage period.
Qualifications:
• At least 1 year of experience in accounts payable, payment processing, or a closely related accounting support role.• Practical experience with invoice coding, data entry, and maintaining accurate financial documentation.
• Working knowledge of accounts receivable processes is helpful.
• Strong Microsoft Excel skills, including comfort working with structured spreadsheets and formulas; exposure to macros is beneficial.
• Familiarity with accounting platforms such as QuickBooks or Financial Edge is preferred.
• Ability to manage multiple priorities, meet deadlines, and maintain attention to detail in a busy office setting.
• Associate degree in accounting, finance, or a related field is helpful, though equivalent hands-on experience is also valued.
