Executive Assistant
Responsibilities:
• Manage complex executive calendars, align shifting priorities, and coordinate meetings using Microsoft Outlook and related scheduling tools.
• Prepare executives for internal and external meetings by organizing agendas, tracking follow-up items, and recording clear meeting notes when needed.
• Facilitate the collection of electronic and physical signatures for legal and business documents while maintaining accuracy and timeliness.
• Oversee travel arrangements, including itineraries, reservations, and supporting materials for business-related trips.
• Process expense submissions and maintain organized records for reports, files, and administrative documentation.
• Support events and conference logistics by handling scheduling, coordination details, and communication with attendees or vendors.
• Conduct research and assist with special assignments that require sound judgment, resourcefulness, and attention to detail.
• Build productive relationships with external partners and provide general office and team support, including occasional personal assistance tasks for executives.
Qualifications:
• At least 5 years of experience in an administrative support or Executive Assistant capacity.• Bachelor’s degree required.
• Active California Notary Public certification is required.
• Advanced proficiency with Microsoft Office Suite, including Outlook for high-volume calendar management.
• Strong written and verbal communication skills with the ability to interact professionally across all levels of an organization.
• Demonstrated ability to handle confidential matters with discretion and sound judgment.
• Highly organized, dependable, and capable of managing deadlines while working independently.
• Experience with tools such as Concur, Webex, CRM platforms, and related business support systems is preferred.
Compensation
