IP/Litigation Admin

Compensation: $23.75 to $27.50 Hourly

We are looking for an experienced IP/Litigation Admin to support a busy legal team in Chicago, Illinois. This is a Long-term Contract position suited for someone who thrives in a fast-paced law office and can manage litigation support tasks with precision and sound judgment. The role focuses on federal court filing activity, document coordination, docket oversight, and day-to-day administrative support for attorneys handling complex matters. Success in this position requires strong organizational ability, careful follow-through, and confidence working both independently and collaboratively.
Responsibilities: • Manage electronic filing submissions in federal court and coordinate state court filings when required, ensuring all documents are submitted accurately and on time. • Create, revise, proofread, and distribute litigation documents, correspondence, and other case-related materials across multiple practice areas. • Maintain attorney dockets and monitor deadlines closely, helping the legal team stay ahead of court dates, filing obligations, and client commitments. • Organize and update electronic case records, pleadings, and related matter files so information remains complete, accessible, and current. • Anticipate support needs for assigned attorneys by tracking open items, following up on pending requests, and helping move administrative and billing tasks to completion. • Provide dependable assistance across a high volume of active matters while balancing shifting priorities and multiple competing deadlines. • Offer backup coverage for additional attorneys and contribute to broader team support needs as workflows require. • Assist with front desk or reception coverage on an occasional basis when office operations call for additional support.
The pay range for this position is 25 to 30. Benefits available to contract/contract professionals, include medical, vision, dental, and life and disability insurance. Qualifications:

• At least 3 years of experience supporting federal litigation matters in a legal administrative or legal assistant capacity.
• Strong hands-on knowledge of federal court e-filing procedures, including substantial experience with the U.S. District Court for the Northern District of Illinois.
• Ability to manage state court filings as needed with close attention to procedural requirements and deadlines.
• Demonstrated skill in calendar management, docket tracking, proofreading, and editing legal documents with a high level of accuracy.
• Strong written communication and interpersonal skills, with the ability to work independently while collaborating effectively with attorneys and colleagues.
• Capacity to handle a large caseload and fast-moving deadlines without sacrificing quality or attention to detail.
• Experience in intellectual property litigation support is preferred, and familiarity with trademark or patent prosecution work would be an advantage.

Compensation

$23.75-$27.50 Hourly
