Executive Assistant
Responsibilities:
• Provide day-to-day administrative support for senior executives, ensuring priorities, communications, and follow-up items are handled efficiently.
• Oversee busy calendars for multiple leaders by arranging appointments, confirming availability, and adjusting schedules as needs change.
• Welcome patients, visitors, and team members at the front desk while delivering courteous service and directing individuals to the appropriate areas.
• Coordinate meeting logistics, including room scheduling, materials preparation, and onsite support to keep events and leadership sessions organized.
• Prepare business documents such as presentations, reports, letters, and other correspondence for executive review and distribution.
• Process purchase orders and maintain accurate administrative records, tracking documentation and related office activities.
• Develop and share weekly newsletters and internal updates to support clear communication across the organization.
• Assist with travel planning and related arrangements for executive meetings and leadership activities when needed.
• Maintain office efficiency by ordering supplies, organizing shared spaces, and supporting special projects with discretion and care.
Qualifications:
• At least 1 year of experience in an executive assistant, administrative support, or similar office-based role.• Demonstrated ability to manage complex calendars and coordinate meetings for multiple stakeholders.
• Experience arranging travel and supporting executive schedules with strong attention to detail.
• Strong written communication skills with the ability to draft clear correspondence, reports, and internal updates.
• Customer-service mindset and confidence interacting with patients, visitors, staff, and senior leaders in a front-facing setting.
• Proficiency with standard office software and administrative tools used for scheduling, documentation, and presentations.
• Ability to handle sensitive or confidential information with sound judgment and discretion.
Compensation
