Accounts Payable Clerk
Responsibilities:
• Coordinate invoice approvals and ensure supporting documentation is complete before processing payments.
• Review, assign accounting codes, and record vendor invoices and company card transactions accurately in QuickBooks.
• Organize payment schedules based on due dates, discount opportunities, and agreed vendor terms to support strong cash management.
• Prepare checks, reconcile payment backup to issued checks, secure required authorizations, and distribute payments promptly.
• Handle payment requests and complete online payments through approved company bank and credit card accounts.
• Respond to vendor questions, resolve discrepancies, request account statements, and help maintain positive supplier relationships.
• Submit required vendor documentation to support rebate programs and confirm records align with external account balances.
• Verify invoice coding and completeness by reviewing supporting operational logs and internal invoice tracking systems.
• Maintain orderly accounting files, collect W-9 documentation from vendors, and assist with month-end, year-end, and additional accounting support as needed.
• Provide accounts payable assistance for related real estate entities and collaborate with management across three business locations.
Qualifications:
• At least 3 years of experience in accounts payable or a closely related accounting support role.• Hands-on proficiency with QuickBooks, including invoice entry, coding, and payment processing.
• Working knowledge of Microsoft Word and Excel, along with accurate 10-key data entry by touch.
• Ability to manage multiple priorities, stay organized, and follow tasks through to completion with minimal oversight.
• Strong problem-solving skills with the ability to investigate discrepancies and make sound decisions based on available information.
• Experience in a bakery, restaurant, food service, or similar fast-paced environment is preferred.
• Clear communication skills and the ability to work effectively with vendors, managers, and internal stakeholders.
