Legal Receptionist
Key Responsibilities
Client Reception & Communication
- Greet clients, visitors, and guests in a professional and welcoming manner.
- Answer, screen, and direct incoming phone calls promptly and courteously.
- Respond to general inquiries while maintaining strict confidentiality and professionalism.
- Provide excellent client service and ensure a positive experience for all visitors and callers.
Appointment Scheduling & Client Intake
- Schedule, confirm, and coordinate client appointments using the firm's case management system.
- Contact clients via phone, email, and text to confirm appointments and provide necessary information.
- Maintain accurate intake records and update client statuses as needed.
- Monitor attorney and staff calendars to prevent scheduling conflicts and coordinate meeting logistics.
Office Administration
- Maintain a clean, organized, and professional reception area, conference rooms, and common office spaces.
- Monitor office supply inventory and coordinate replenishment orders.
- Assist with opening and closing office procedures, including basic operational and security tasks.
- Support the smooth daily operation of the office by handling various administrative duties.
Mail & Document Processing
- Receive, log, and distribute incoming mail, packages, and deliveries.
- Scan, file, date-stamp, and route documents to the appropriate team members.
- Prepare documents and correspondence for mailing, courier services, or client pickup.
- Maintain organized electronic and physical filing systems.
Administrative Support
- Provide administrative assistance to attorneys, paralegals, and legal support staff.
- Assist with document preparation, copying, scanning, filing, and record management.
- Monitor and manage general email inboxes, responding to routine inquiries and forwarding messages as appropriate.
- Maintain accurate client information and assist with updating records within case management systems.
Financial & Records Support
- Process client payments and maintain accurate transaction records.
- Track payment statuses and assist with follow-up regarding outstanding balances.
- Support recordkeeping and data entry functions to ensure information remains current and accurate.
- Maintain confidentiality when handling financial and client information.
Qualifications:
Education & Experience
- Associate's degree, Bachelor's degree, or equivalent professional experience preferred.
- 1–3 years of experience in a receptionist, administrative assistant, client services, office coordinator, or legal support role preferred.
- Previous experience in a law firm, legal office, or other professional services environment is highly desirable.
- Experience handling confidential information with discretion and professionalism.
- Strong customer service, communication, and interpersonal skills.
- Proficiency with Microsoft Office Suite, Google Workspace, case management systems, and standard office technology.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Bilingual abilities are a plus but not required.

Compensation
