Event Coordinator

Compensation: $32 to $36 Hourly

Robert Half is actively partnering with an Austin-based client to identify a Event Coordinator (contract). In this role, you will plan, coordinate, and execute a variety of events that support business objectives, brand awareness, client engagement, and employee experiences. This role will oversee event logistics, vendor management, budgeting, communications, and onsite execution to ensure successful and memorable event experiences. This role is onsite in Austin, Tx. 


Key Responsibilities:

  • Plan and coordinate in-person, virtual, and hybrid events, including conferences, trade shows, client events, meetings, workshops, and internal programs.
  • Manage event timelines, project plans, and logistics to ensure successful execution.
  • Coordinate venues, catering, transportation, audiovisual needs, event materials, and vendor relationships.
  • Develop and maintain event budgets while tracking expenses and ensuring cost effectiveness.
  • Collaborate with internal stakeholders to define event goals, agendas, and attendee experiences.
  • Manage registration processes, guest communications, and attendee logistics.
  • Coordinate event marketing materials, invitations, promotional campaigns, and follow-up communications.
  • Serve as the primary point of contact for vendors, sponsors, speakers, and event participants.
  • Oversee onsite event execution, troubleshoot issues, and ensure a positive attendee experience.
  • Monitor event performance and gather attendee feedback to identify opportunities for improvement.
  • Prepare post-event reports, including attendance, budget analysis, and event outcomes.
  • Maintain event documentation, schedules, contracts, and compliance requirements.

Qualifications:

Qualifications:

  • 4+ years of experience in event planning, event coordination, marketing, hospitality, or a related field.
  • Proven ability to successfully manage multiple events and projects simultaneously.
  • Strong organizational, project management, and time-management skills.
  • Excellent verbal and written communication skills.
  • Experience working with vendors, venues, and external partners.
  • Ability to manage budgets, contracts, and event-related expenditures.
  • Proficiency with Microsoft Office Suite and event management software or registration platforms.
  • Strong problem-solving skills and ability to adapt in fast-paced environments.
  • Ability to travel and work occasional evenings or weekends as event schedules require.
  • Bachelor's degree in Marketing, Communications, Hospitality, Business, or a related field preferred.

Preferred Qualifications:

  • Experience supporting corporate, trade show, client-facing, or large-scale events.
  • Familiarity with virtual event platforms and hybrid event technologies.
  • Experience with CRM, marketing automation, or event registration systems.
  • Certification in Event Planning or Project Management is a plus.
