Junior Legal Administrative Assistant

San Jose, CA 95113, US Contract
Compensation: $22 to $28 Hourly

Position Overview We are seeking a motivated and detail-oriented Junior Legal Administrative Assistant to join a busy legal team. This entry-level role is ideal for someone looking to begin or grow a career in the legal field. The successful candidate will support attorneys and legal staff with administrative tasks, client communications, scheduling, document management, and general office operations. The ideal candidate is detail oriented, organized, eager to learn, and comfortable working in a fast-paced environment while maintaining confidentiality and accuracy.
Key Responsibilities Client Service & Reception Serve as the first point of contact for clients, visitors, and incoming calls. Greet clients and guests in a detail oriented and welcoming manner. Answer and route phone calls, emails, and messages to the appropriate team members. Provide general information and assist with routine client inquiries while maintaining confidentiality. Scheduling & Administrative Support Schedule consultations, meetings, and appointments for attorneys and legal staff. Send appointment confirmations and reminders to clients. Maintain attorney calendars and help coordinate meetings and deadlines. Assist with data entry, file maintenance, and updating client records. Document & File Management Organize, scan, copy, and file legal documents and correspondence. Maintain both electronic and physical client files. Prepare documents for mailing, delivery, and client distribution. Ensure records are accurate, organized, and up to date. Office Operations Support daily office functions to ensure smooth and efficient operations. Monitor office supply inventory and assist with ordering supplies when needed. Receive, sort, and distribute incoming mail and packages. Help maintain a clean, organized, and detail oriented office environment. Legal Team Support Assist attorneys, paralegals, and administrative staff with various clerical and administrative tasks. Manage shared email inboxes and route communications appropriately. Assist with case management system updates and client information tracking. Support special projects and additional administrative duties as assigned.

Qualifications:

Qualifications Education & Experience High school diploma or equivalent required. Associate's degree, Bachelor's degree, or coursework in Legal Studies, Business Administration, Communications, or a related field is a plus. 0–2 years of administrative, customer service, receptionist, or office support experience. Previous experience in a legal office is helpful but not required. Internship, volunteer, or academic experience in a legal setting is a plus. Skills & Abilities Strong verbal and written communication skills. Excellent organizational and time-management abilities. Strong attention to detail and accuracy. detail oriented demeanor with strong customer service skills. Ability to handle sensitive and confidential information with discretion. Proficiency with Microsoft Office Suite, Google Workspace, and general office technology. Ability to prioritize tasks and work effectively in a team environment. Willingness to learn legal procedures, terminology, and case management systems. What We're Looking For Positive attitude and strong work ethic. Compensation

$22.00-$28.00 Hourly
