We're seeking a highly organized and proactive Executive Assistant to provide high-level support to executive leadership. This role is ideal for an experienced administrative professional who enjoys managing multiple priorities, coordinating with stakeholders, supporting strategic initiatives, and helping executives stay organized and effective. The successful candidate will be a resourceful problem-solver who thrives in a fast-paced environment, exercises sound judgment, and excels at building relationships across teams, vendors, and executive-level partners.


Key Responsibilities

  • Manage complex calendars, scheduling meetings, committee sessions, conferences, and executive appointments.
  • Coordinate internal and external meetings, including agendas, logistics, meeting materials, attendee communications, and follow-up action items.
  • Serve as a primary point of contact for executives, board members, committee members, vendors, and key stakeholders.
  • Arrange travel, accommodations, conference registrations, and related logistics.
  • Prepare and process expense reports, invoices, vendor payments, and purchase requests.
  • Support conference and event planning efforts, including attendee management, sponsorship tracking, vendor coordination, and onsite logistics support.
  • Assist with communications initiatives, website updates, content coordination, and brand-related projects.
  • Develop presentations, reports, spreadsheets, agendas, and executive briefing materials using Microsoft Office tools.
  • Coordinate special projects, committee activities, and operational initiatives as assigned.
  • Maintain confidential information with the highest level of professionalism and discretion.
  • Partner with internal teams and external vendors to ensure projects and events remain on track.



Qualifications:

Qualifications

  • 5+ years of Executive Assistant or Senior Administrative Assistant experience supporting C-suite, VP, or senior leadership.
  • Associate's or Bachelor's degree preferred.
  • Demonstrated experience managing complex executive calendars and competing priorities.
  • Experience supporting conferences, events, committee operations, or board-related activities.
  • Strong project coordination and vendor management experience.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Experience using expense management and business productivity tools such as Concur, ChatGPT, Claude, or similar platforms preferred.
  • Exceptional written and verbal communication skills.
  • Ability to exercise independent judgment while handling sensitive and confidential information.
  • Comfortable working in a dynamic, evolving environment with minimal supervision.

Compensation

$35.00-$42.00 Hourly
