Legal Secretary
Our client is seeking a Legal Secretary with commercial real estate experience to support a busy legal practice. The ideal candidate will provide high-level administrative and legal support to attorneys handling commercial real estate transactions, leasing matters, acquisition and disposition transactions, financing matters, and property development projects. This role requires exceptional organization, attention to detail, and the ability to manage multiple priorities in a deadline-driven environment.
Responsibilities
- Prepare, revise, proofread, and format commercial real estate legal documents.
- Draft correspondence and legal forms for attorney review.
- Coordinate commercial real estate transaction documentation.
- Assist with purchase and sale agreements, lease agreements, amendments, and closing documents.
- Prepare signature packets and closing binders.
- Manage attorney calendars, meetings, and deadlines.
- Schedule client meetings, conference calls, and transaction-related meetings.
- Coordinate document execution and notarization processes.
- Maintain and organize electronic and physical client files.
- Handle incoming and outgoing correspondence.
- Communicate with clients, brokers, title companies, lenders, surveyors, and vendors.
- Assist with due diligence review and document organization.
- Track transaction progress and critical closing dates.
- Review documents for formatting consistency and accuracy.
- Prepare expense reports, invoices, and administrative reports.
- Coordinate travel arrangements when necessary.
- Assist attorneys with workload management and practice support.
- Support multiple attorneys and legal professionals simultaneously.
- Maintain confidentiality of sensitive client information.
Qualifications:
Qualifications
- 2+ years of legal secretary experience.
- Commercial real estate law experience required.
- Experience supporting attorneys in transactional real estate matters.
- Familiarity with commercial leasing, acquisitions, dispositions, and financing transactions.
- Knowledge of escrow and closing processes.
- Excellent document formatting and proofreading skills.
- Strong calendar management and organizational abilities.
- Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Experience managing multiple attorney schedules.
- Strong attention to detail and follow-through.
- Professional communication skills.
- Ability to prioritize competing deadlines.
- Experience working in a law firm environment preferred.
- Associate's or Bachelor's degree preferred.
Compensation
