Administrative Assistant

Compensation: $25.50 to $26 Hourly

We are looking for an Administrative Assistant to provide dependable operational support for a long-term contract opportunity in New Jersey. This position will help keep daily office activities running smoothly by managing documentation, coordinating schedules, and assisting with communication across teams. The ideal candidate is organized, attentive to detail, and comfortable handling a variety of administrative tasks while maintaining sound judgment and discretion.

Responsibilities:
• Manage day-to-day clerical activities such as organizing records, entering information into systems, scanning materials, and maintaining accurate documentation.
• Coordinate calendars for team members and leadership, arrange meetings, and confirm appointments to support efficient scheduling.
• Create and update business materials including reports, spreadsheets, presentations, and other routine office documents.
• Maintain orderly office files, databases, and records so information is accessible, current, and properly stored.
• Support travel planning, prepare expense documentation, and help track and replenish office supply inventory.
• Assist with meeting coordination by preparing agendas, recording notes, and following up on action items after discussions.
• Facilitate internal communication by helping departments share information and stay aligned on administrative needs.
• Handle sensitive records and confidential information with care, ensuring appropriate security and sound judgment at all times.

Qualifications:

• Previous experience in an administrative support, office assistant, or similar clerical role.
• Strong data entry skills with consistent attention to accuracy and detail.
• Ability to manage calendars, schedule meetings, and coordinate multiple priorities effectively.
• Proficiency in preparing business documents such as spreadsheets, reports, and presentations.
• Comfortable answering inbound calls and providing attentive front-office or receptionist support.
• Solid organizational skills with the ability to maintain files, records, and office documentation efficiently.
• Strong written and verbal communication skills and the ability to work well with different teams.
• Demonstrated ability to handle confidential information with discretion and care.

Compensation

$25.50-$26.00 Hourly
