Compensation: $19 to $24 Hourly

We are looking for an organized Administrative Assistant to support a busy office in Somerville, Massachusetts. This Long-term Contract opportunity is ideal for someone who enjoys customer-facing administrative work, manages changing priorities well, and can maintain accuracy in a fast-paced onsite environment. The person in this role will help keep daily office operations running smoothly by handling clerical tasks, coordinating communications, and supporting service-related administrative processes.


Responsibilities:

• Manage day-to-day administrative activities, including document handling, record updates, and general office support for the department.

• Process billing and deposit-related paperwork with close attention to accuracy and established procedures.

• Receive customer inquiries by phone or in person, document concerns clearly, and coordinate with field staff to support timely follow-up.

• Enter and maintain information in departmental and office software systems to support operations and reporting needs.

• Sort, stamp, and distribute incoming mail, packages, and internal correspondence to the appropriate team members.

• Handle sensitive information with professionalism and sound judgment while maintaining confidentiality in daily work.

• Work collaboratively with supervisors, coworkers, and members of the public to provide responsive administrative service.

• Provide additional clerical assistance to related municipal staff when department priorities require broader office support.

• Assist with onboarding or cross-training clerical team members on department procedures and administrative workflows.


Qualifications:

• Prior experience in administrative support, front desk, receptionist, or customer service-oriented office work.

• Ability to stay organized and productive in a fast-moving environment with frequent interruptions and shifting priorities.

• Strong verbal and written communication skills, with the ability to interact professionally with the public and internal teams.

• Working knowledge of standard office practices and proficiency with Microsoft Office and data entry tasks.

• Ability to learn and use department-specific software systems; prior experience utility-related platforms is a plus.

• Sound judgment in handling confidential information and following established policies and procedures.

• Demonstrated reliability, teamwork, and a service-focused approach to supporting office operations.


Compensation

$19.00-$24.00 Hourly
