Description: This position requires excellent communication, organizational, and multitasking skills to handle a variety of responsibilities, including customer inquiries, project documentation, and administrative tasks. Requirements:
- Perform general office duties, including answering phones, ordering supplies, and maintaining a professional workspace
- Serve as the first point of contact for customer inquiries, providing exceptional service and resolving issues promptly
- Maintain organized records for project files and customer correspondence
- Schedule and coordinate meetings, project timelines, and appointments
- Prepare and distribute internal and external communications, such as memos, emails, and reports
- Monitor and track project progress to ensure deadlines are met, escalating issues as needed
- Support billing, invoicing, and payment tracking processes for projects
- Assist with special projects and other tasks as assigned by management
Experience Required:
- Minimum 2 years of administrative experience, preferably in the construction industry
- Familiarity with construction documentation and processes is highly desirable
Skills Required:
- Strong customer service and interpersonal skills
- Excellent verbal and written communication abilities
- Highly organized with attention to detail and the ability to prioritize tasks effectively
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Ability to handle multiple tasks in a fast-paced environment
- Strong critical thinking and problem-solving skills
- Knowledge of construction software or ERP systems preferred
- Dependable, team-oriented, and adaptable to changing priorities
Education Required:
- High school diploma or equivalent required
- Associate degree in Business Administration or a related field preferred
Physical Requirements:
- Ability to sit for extended periods and work on a computer
- Requires sitting, keyboard typing and 10-key, use of telephone and computer monitor, walking, filing, and stairs
- Occasionally lift and carry files or documents weighing up to 10 pounds
Work Environment:
- Standard office environment with minimal noise
- This position is on-site and is not eligible for teleworking
