Project Assistant
We are looking for a detail-oriented Project Assistant to support construction project operations in West L.A.. This contract position has the potential to become permanent and plays an important role in keeping documentation, scheduling, reporting, and field office coordination running smoothly for the project team. The ideal candidate is organized, responsive, and comfortable managing multiple administrative priorities in a fast-paced jobsite environment.
Responsibilities:
• Oversee the structure and upkeep of electronic project files so records remain accurate, accessible, and consistently organized.
• Support the Superintendent by preparing and distributing union-related notices in alignment with applicable labor agreements.
• Keep project contact lists and directories current to ensure team members and partners have reliable information.
• Arrange team meetings by coordinating calendars, reserving space, sending invitations, and organizing meal or refreshment needs when required.
• Coordinate travel plans and logistics for training sessions and offsite inspections.
• Work with site leadership and safety personnel to process onboarding paperwork for union employees and submit required employment documents to payroll.
• Maintain equipment tracking records and assist with scheduling the pickup or return of leased and rented assets.
• Provide administrative support for site access, badging, security coordination, reporting, subcontractor compliance logs, weekly union hour collection, and end-of-project document archiving.
Qualifications:
• Experience providing administrative or project support within construction projects or a related field environment.• Ability to manage timelines and priorities while handling multiple tasks with strong attention to detail.
• Familiarity with project documentation, recordkeeping, scanning, and maintaining organized digital and physical files.
• Comfortable coordinating meetings, travel arrangements, and day-to-day office logistics.
• Working knowledge of reporting, tracking logs, and general project management support functions.
• Strong communication skills with the ability to collaborate effectively with superintendents, safety staff, payroll, and project teams.
• Proficiency with standard office software and scheduling tools used to support project operations.
Compensation
