Onboarding Specialist
Position Summary:
The Onboarding Specialist is responsible for coordinating and facilitating the new hire onboarding process from pre-employment through orientation. This role ensures a seamless onboarding experience by managing employee documentation, HR systems, compliance requirements, and communication between new hires, hiring managers, and internal departments.
Key Responsibilities
- Coordinate and manage the onboarding process for all new employees.
- Prepare and distribute offer packets, onboarding materials, and employment documents.
- Process background checks, drug screenings, and employment verifications.
- Ensure completion of I-9s, tax forms, and other compliance-related documentation.
- Conduct new hire orientation and onboarding sessions.
- Set up employee records within HRIS and onboarding systems.
- Partner with hiring managers, HR teams, IT, and facilities to ensure employees are prepared for their first day.
- Monitor onboarding progress and maintain accurate employee records.
- Respond to new hire questions regarding policies, procedures, and benefits.
- Track onboarding metrics and provide status updates to management.
- Maintain confidentiality of employee information.
- Support additional HR projects and administrative functions as needed.
Qualifications:
Education
- High School Diploma or GED required.
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
Experience
- 1-3 years of onboarding, human resources, recruiting, or administrative experience preferred.
- Experience with HRIS, ATS, or onboarding systems.
- Customer service or employee-facing experience is a plus.
Skills & Qualifications
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- High attention to detail and accuracy.
- Ability to manage multiple onboarding activities simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Knowledge of HR processes and employment documentation.
- Ability to handle confidential information professionally.
- Strong customer service and relationship-building skills.
- Problem-solving and follow-up skills.
Preferred Qualifications
- Experience with Workday, ADP, UKG, Paycom, or similar HRIS platforms.
- Knowledge of employment laws, I-9 compliance, and onboarding best practices.
- HR certification (PHR, SHRM-CP) is a plus.
Compensation
