Function of Position:

The Associate Registrar provides leadership and operational oversight of registration, records, scheduling, and academic processes that support student enrollment and success. This position ensures the integrity, accuracy, and security of student academic records while maintaining compliance with institutional policies, federal and state regulations, and accreditation standards. The Associate Registrar serves as a key functional lead for student information systems and collaborates with academic and administrative departments to enhance processes, remove barriers to enrollment, and improve the overall student experience.

Primary Responsibilities:

Registration & Enrollment Operations

  • Provide leadership and oversight of registration processes for credit.
  • Possess working knowledge of non-credit, College Now, and workforce development registration processes and how those processes connect to Banner.
  • Develop, manage, and maintain registration controls and workflows within the student information system.
  • Monitor and optimize waitlist processes to support equitable access to high-demand courses.
  • Evaluate prerequisite compliance, analyze reports, and coordinate timely communication and action for students not meeting requirements.
  • Identify and implement process improvements to enhance efficiency, student access, and service delivery.

Academic Records, Attendance, & Grading

  • Oversee the administration and integrity of academic records, ensuring accuracy, timeliness, and compliance with institutional and regulatory requirements.
  • Manage attendance-related processes, including tracking, reporting, and administrative withdrawals for non-attendance, ensuring compliance with federal financial aid regulations (e.g., Satisfactory Academic Progress).
  • Direct grading operations, including grade submission, changes, incomplete grade processing, and resolution of missing grades.
  • Coordinate Dean's List and other academic recognition processes.
  • Partner with faculty and academic leadership to support grading policies and academic progress standards.

Technology & Systems Leadership

  • Serve as functional lead for Banner Student modules related to Registration and Records, including system configuration, testing, upgrades, and troubleshooting.
  • Collaborate with Information Technology and institutional stakeholders to enhance system functionality and integration.
  • Utilize tools such as Ellucian Hub and SICAS Center to improve operational efficiency and data quality.
  • Support development of reporting and analytics that inform decision-making and operational improvements.
  • Promote data governance, data integrity, and secure handling of student information.

Master Schedule & Academic Calendar

  • Serve as primary point of coordination for the development, production, and execution of the college's master schedule.
  • Develop and maintain the master schedule production calendar and associated workflows.
  • Collaborate with academic leadership to align course offerings with enrollment trends, student demand, and institutional priorities.
  • Oversee schedule data entry, updates, and accuracy within the student information system.
  • Lead scheduling operations within Ad Astra or equivalent scheduling software.
  • Partner with campus stakeholders in the development and implementation of the academic calendar.

Compliance, Policy, & Governance

  • Ensure compliance with the Family Educational Rights and Privacy Act (FERPA), accreditation requirements, and other applicable regulations.
  • Serve as a subject matter expert on registration and records policies, procedures, and best practices.
  • Support audits, reporting requirements, and policy reviews related to student records and enrollment processes.
  • Maintain and ensure the accuracy of Registration and Records information published on the college website.

Leadership & Supervision

  • Supervise, train, and develop clerical and support staff, fostering a collaborative, student-centered work environment.
  • Provide performance management, coaching, and professional development opportunities.
  • Promote a culture of continuous improvement, accountability, and service excellence.

Collaboration & Institutional Engagement

  • Partner with academic departments, enrollment management, financial aid, IT, and other campus offices to support student success and operational effectiveness.
  • Participate in college-wide committees, initiatives, and shared governance processes.
  • Contribute to institutional efforts that advance equity, inclusion, and student achievement.

Other Duties

  • Perform additional responsibilities and special projects as assigned by the Director of Registration and Records.
  • Maintain current knowledge of trends, technologies, and best practices in registrar functions and higher education administration.

Job Requirements:

Required Qualifications:

  • Master's degree from an accredited institution.
  • Minimum of five (5) years of progressively responsible experience in student records and registration within higher education.
  • Experience working with complex student information systems (e.g., Banner).
  • Demonstrated experience analyzing data and making recommendations to support operational and strategic decision-making utilizing complex analytic tools such as Ad Astra.
  • Knowledge of academic policies, registration processes, and regulatory requirements (including FERPA and financial aid implications).
  • Strong organizational, analytical, and problem-solving skills with a high level of attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Demonstrated experience supervising, coaching, and developing staff.
  • Commitment to fostering an inclusive, equitable, and student-centered environment.
  • Demonstrated commitment to the mission and values of a comprehensive community college.

Preferred Qualifications:

  • Experience with Banner Student Information System or similar platforms.
  • Experience with scheduling software (e.g., Ad Astra) and/or degree audit systems (e.g., DegreeWorks).
  • Experience with reporting and data visualization tools.
  • Experience leading system implementations, upgrades, or process improvement initiatives.
  • Familiarity with non-credit and workforce development registration processes.
  • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently.

Additional Information:

Salary: Salary is determined based on experience, internal equity and college budget. This position has a range of $72,000 to $84,000 and is based on these mentioned factors.

Occasional travel between campus buildings or to other local or out-of-town locations for meetings or conferences may be required.
