Administrative Assistant

Compensation: $19 to $20 Hourly

We are looking for an Administrative Assistant to provide dependable support for a busy dispatch team in Henrico, Virginia. This contract to hire opportunity with is ideal for someone who is organized, detail-focused, and comfortable managing high volumes of administrative work in a fast-paced office setting. The position centers on accurate record handling, communication with carriers, and day-to-day coordination that helps keep operations running smoothly. PLEASE NOTE: This is an in office role from 11pm-7am, M-F, with a 30 minute lunch break and two 15 minute breaks each day. You must be able to fulfill this schedule to be considered for the position.


Responsibilities:

• Enter and maintain large volumes of operational information with a high level of accuracy and attention to detail.

• Review dispatch-related reports, identify discrepancies, and ensure records are complete and up to date.

• Communicate with carriers by phone and email to gather updates, confirm details, and support ongoing coordination.

• Provide administrative support to the dispatch department through document handling, filing, and routine office tasks.

• Answer inbound calls professionally and direct inquiries to the appropriate team members when needed.

• Assist with front-office and receptionist-style duties to help maintain an organized and responsive work environment.

• Prepare, update, and distribute spreadsheets, reports, and other materials using Microsoft Office applications.


Qualifications:

• Previous experience in an administrative assistant, office support, or similar coordination role.
• Strong data entry skills with the ability to work accurately and efficiently.
• Proficiency with Microsoft Office, including Word, Excel, and Outlook.
• Clear, detail-oriented written and verbal communication skills.
• Ability to manage multiple tasks, stay organized, and meet deadlines in a busy setting.
• Confidence handling inbound calls and interacting with external partners such as carriers.
• Solid general administrative skills, including document management and routine office support.

Compensation

$19.00-$20.00 Hourly
