Project Coordinator
Responsibilities:
• Organize project initiation activities and maintain accurate electronic records, files, and supporting documentation throughout the project lifecycle.
• Prepare meeting summaries, track follow-up items, and distribute clear communication to help teams stay aligned on next steps.
• Monitor timelines, milestones, and team calendars to support steady progress across active assignments.
• Arrange internal and client-facing meetings by managing schedules, agendas, room bookings, materials, catering, and technology needs.
• Compile and update project reporting tools, including status updates, staffing information, and progress trackers.
• Support the administration of key project documents such as agreements, proposals, submittals, RFIs, and formal reports.
• Manage coordination for quality review documentation, including required stamping and final document processing.
• Facilitate communication with consultants and distribute project information to the appropriate stakeholders in a timely manner.
• Recommend practical improvements to team workflows, communication methods, and organizational processes to increase efficiency.
• Partner effectively with project teams and support functions while maintaining a thorough, responsive, and detail-conscious approach.
Qualifications:
• Bachelor’s degree required.• At least 5 years of experience in project coordination, administrative support, operations, or a similar function, ideally within architecture, engineering, construction, design, or related services.
• Demonstrated ability to manage competing deadlines, maintain organization, and prioritize work effectively in a fast-paced setting.
• Strong written and verbal business communication skills with the ability to interact effectively across teams and with external partners.
• Proficiency with Microsoft Office applications, including Outlook, Excel, PowerPoint, and Teams.
• Sound judgment, problem-solving ability, and a high level of discretion when handling project-related information.
• Excellent attention to detail and a strong sense of urgency combined with tact and diplomacy.
• Experience with contract administration, proposal or RFP support, project scoping, or project scheduling is beneficial.
