Job Summary
Strategic Management Solutions, LLC is seeking a Business Program Manager to support business operations and deliver exceptional customer service to employees and leadership. The ideal candidate is a proactive problem solver with strong communication skills, meticulous attention to detail, and the ability to quickly learn and implement new processes while maintaining strict confidentiality. This role will support our Los Alamos, NM, project operations and requires initiative, sound judgment, and the ability to work effectively with diverse teams and customers. The Business Program Manager must be capable of addressing technical issues, resolving problems efficiently, and recognizing when to escalate matters appropriately. The position receives technical and administrative direction from the Director of Corporate Services.
Duties and Responsibilities:
Customer and Partner Relationship Management
  • Grow relationships with key customers and appropriate regional contract-related partners.
  • Provide analysis of customer or contract specific sales, forecasting, competitive opportunities, and resolution of issues.
Contract Administration
  • Primary point of contact for contract administration activities and related reporting for client(s) and associated prime contractor(s), subcontractors, and internal stakeholders while ensuring adherence to standard internal contract management processes.
  • Lead and coordinate with project managers to manage releases, respond to new release inquiries, and submit proposals in response to requests for proposals.
Contract Document Review and Negotiation
  • Review client-provided contract documents, coordinate with SMSI leadership to provide comments, and lead negotiation of final contract terms.
  • Collaborate with applicable manager(s) to select appropriate contract types, tailor templates to reflect specific scope, pricing, and terms, consult legal counsel and/or subject matter expert(s) when necessary, and manage the approval process.
Contract Performance Monitoring and Compliance
  • Identify required deliverables and coordinate with project managers to ensure compliance.
  • Track and manage contract modifications, ensuring timely review, coordination, and implementation.
  • Ensure assigned contracts comply with applicable laws, regulations, and company policies.
  • Identify contractual risks and recommend practical solutions.
  • Support audits, due diligence, and reporting requirements for assigned contracts.
Contract Document Management
  • Maintain and update standard contract templates for use in joint ventures, subcontracts, service procurements, seconding employee agreements, task orders and other documents as contract needs require.
  • Maintain the contracts database with monthly updates and lead reviews with SMSI executives.
  • Maintain organized contract file archives, ensuring the most current versions of contracts, modifications, and releases are accurately stored on internal servers.
Cross-Functional Coordination
  • Support Human Resources with actions necessary to hire and maintain project staff, including onboarding and offboarding for functions supporting assigned client(s).
  • Lead contract closeout efforts in coordination with the CFO, including financial reconciliation and proper disposition of any client-owned property.
  • Coordinate with accounting and project managers to complete the monthly accruals for issuance to the customer.
Required Skills/Abilities:
  • Strong understanding of FAR, DOE, NNSA, and Government Contracting.
  • Proven ability to manage multiple contracts and priorities in a fast-paced environment.
  • Excellent negotiation, communication, and interpersonal skills.
  • Experience with contract management systems is required, Unanet is preferred.
  • High attention to detail and a commitment to accuracy and compliance.
  • Advanced proficiency with the Microsoft Office tools (MS Word, Excel, Powerpoint, etc.).
Education and Experience:
  • Bachelor's degree in business, contracts, law or a related field.
  • Minimum of 5 years of experience in contract management, legal operations, acquisition services/procurement, or related field.
Work Environment:
  • This is a full-time (40 hours per week) salaried exempt position.
  • It will be based in an SMSI office, which is a professional office environment with future potential for hybrid work, i.e., a portion of time to be performed remotely.
Travel:
  • Occasional travel will be required for this position.
Physical Demands:
  • The employee may be required to stand, walk, lift objects, and reach with hands and arms.
