Accounts Receivable Clerk
Responsibilities:
• Process daily invoices for service work, equipment charges, and other customer billings with a high level of accuracy.
• Maintain sales orders and organize supporting billing documentation to ensure records are complete and easy to access.
• Prepare and send recurring customer statements each month while monitoring account activity for consistency and timeliness.
• Track contract end dates and renewal timelines so customer accounts remain current and properly billed.
• Reconcile bank activity and credit card transactions to support accurate accounting records and cash reporting.
• Coordinate weekly payments to vendors and assist with routine accounts payable support as needed.
• Prepare information for monthly sales tax filings and help keep submissions accurate and on schedule.
• Respond to customer questions regarding invoices, payments, and account balances in a thorough and service-oriented manner.
• Create project-related documentation, manage filing tasks, and provide administrative support for contracts, proposals, and insurance requests.
• Assist with collection outreach and review business documents for completeness, accuracy, and compliance with customer requirements.
Qualifications:
• At least 10 years of hands-on experience working with QuickBooks in an accounting or accounts receivable capacity.• Proven background in accounts receivable, including billing, cash application, and commercial collections.
• Strong written and verbal communication skills with the ability to interact effectively with customers and internal teams.
• Proficiency with Microsoft Word, Excel, and Outlook for reporting, correspondence, and daily administrative tasks.
• Typing speed of at least 50 words per minute.
• High attention to detail and the ability to manage documentation, reconciliations, and deadlines with accuracy.
• Prior experience in a contracting or service-based office environment is helpful.
• Ability to work collaboratively while staying productive across a variety of accounting and administrative responsibilities.
Compensation
