Accounts Receivable Specialist
Responsibilities:
• Prepare and issue customer invoices, bill of lading documents, and related backup for service and installation work.
• Review open receivables regularly and communicate with customers to collect outstanding balances in a timely and accurate manner.
• Partner with internal stakeholders across sales, project management, and field operations to confirm pricing, contract terms, customer expectations, and billing milestones.
• Interpret Master Service Agreements and apply customer-specific terms accurately during billing and collection activities.
• Complete project closeout billing reviews to confirm charges are captured correctly and revenue-related documentation is complete.
• Maintain thorough records of invoices, payment activity, customer communication, and supporting account documentation.
• Reconcile billing transactions, customer payments, and account statements to improve accuracy and reduce discrepancies.
• Respond to customer and internal billing questions with clear, helpful service and timely resolution.
• Use Microsoft Dynamics 365 to manage accounts receivable workflows, enter data, and produce reporting as needed.
• Assist with month-end and year-end accounts receivable close tasks while identifying ways to improve billing and collections processes.
Qualifications:
• Experience in accounts receivable, including invoicing, payment tracking, and commercial collections.• Background supporting billing functions for project-based or service-oriented environments.
• Ability to reconcile invoices, cash applications, and account activity with strong attention to detail.
• Working knowledge of bill of lading documentation and related billing support materials.
• Proficiency with Microsoft Excel for tracking, reporting, and account analysis.
• Experience using ERP or accounting systems for AR processing; Microsoft Dynamics 365 experience is strongly preferred.
• Strong communication skills with the ability to work effectively across internal teams and with external customers.
Compensation
