Executive Assistant
Responsibilities:
• Oversee the Executive Director’s calendar, prioritize appointments, and ensure daily schedules are organized and up to date.
• Coordinate board and committee activities, including preparing for recurring meetings, following up with members, and supporting meeting logistics.
• Manage routine office administration such as handling incoming mail, maintaining documents, and ordering workplace and event-related supplies.
• Review and route spending requests, helping track approvals and support accurate administrative processing.
• Organize staff gatherings and larger internal events, including food planning, materials coordination, and day-of logistics.
• Arrange virtual meetings and provide basic technical support to ensure the Executive Director is fully prepared for online sessions.
• Assist with travel planning when needed, including itinerary coordination and related scheduling details.
• Maintain organized records and support document preparation to help leadership stay informed and efficient.
Qualifications:
• Experience supporting senior leadership or executives in an administrative capacity.• Demonstrated success managing complex calendars, meeting schedules, and changing priorities.
• Familiarity with board meeting coordination, committee support, or governance-related administration.
• Strong organizational skills with careful attention to detail and follow-through.
• Ability to communicate professionally and work effectively with a range of personalities.
• Confidence handling sensitive situations with discretion, resilience, and sound judgment.
• Proficiency with virtual meeting platforms and standard office productivity tools.
Compensation
