Accounting Assistant

Little Rock, AR 72201, US Contract
Compensation: $19 to $22 Hourly

We are looking for an Accounting Assistant to join a team in Little Rock, Arkansas in a contract-to-permanent position. This role blends accounting support, purchasing coordination, and office administration, making it ideal for someone who is organized, service-minded, and comfortable managing multiple priorities. The person in this position will work closely with accounting and operations staff to keep invoices, purchase orders, shipments, records, and training logistics moving efficiently.

Responsibilities:
• Process accounts payable and accounts receivable activities, ensuring invoices, payments, and related records are handled accurately and on time.
• Create purchase orders for field teams and internal office needs, then review supporting documentation to confirm pricing, approvals, and receipt of goods through three-way matching.
• Receive and sort incoming vendor invoices and other mail, routing documents appropriately and following up on items that require action.
• Track part sales and shipment activity, including coordinating incoming and outgoing materials and supporting job-related order fulfillment.
• Reconcile vendor statements and investigate discrepancies to help maintain current and accurate payment status.
• Provide administrative support by answering routine questions, directing requests for quotes, and assisting team members with day-to-day office needs.
• Maintain shared electronic files and job records by organizing folders, updating naming conventions, and addressing data housekeeping needs.
• Coordinate safety meetings and training activities by preparing materials, sending invitations, tracking attendance, managing calendars, and documenting completion details.
• Support contract-related job setup and assist with administrative tasks tied to customer service and dispatch coordination as workload demands evolve.

Qualifications:

• Experience supporting both accounts payable and accounts receivable functions in a detail-focused office environment.
• Ability to code invoices, issue purchase orders, and perform detailed three-way matching with a high level of accuracy.
• Working knowledge of bank reconciliations and general accounting record maintenance.
• Proficiency with QuickBooks and confidence using shared drives, spreadsheets, and standard office software.
• Strong organizational skills with the ability to manage mail, shipments, vendor documents, and multiple concurrent priorities.
• Clear written and verbal communication skills for coordinating with vendors, field staff, and internal departments.
• Comfortable handling administrative responsibilities such as scheduling, meeting preparation, training coordination, and document tracking.

Compensation

$19.00-$22.00 Hourly
