Legal Secretary

A busy employment litigation firm in Emeryville is seeking a Legal Secretary to join its team on a contract-to-hire basis. This position is fully onsite for the first 90 days to support training, onboarding, and integration with the team, before transitioning to a hybrid schedule of 3 days onsite and 2 days remote. The ideal candidate will have prior litigation support experience and be comfortable handling traditional legal secretarial responsibilities, including dictation/transcription, state and federal e-filing, document formatting, and calendaring, in a fast-paced law practice.

Key Responsibilities

• Support attorneys handling employment litigation matters
• Prepare, revise, proofread, and format legal documents and correspondence
• Create and maintain Tables of Contents (TOC) and Tables of Authorities (TOA)
• File documents in California state and federal courts
• Manage attorney calendars, deadlines, court dates, and reminders
• Coordinate hearings, depositions, meetings, and other case-related events
• Handle document production, organization, and case file maintenance
• Perform dictation and transcription as needed
• Assist with general administrative and legal support duties

Qualifications:

Qualifications

• Prior experience as a Legal Secretary, Litigation Secretary, or Legal Assistant in a law firm environment
• Employment litigation experience strongly preferred
• Proficiency with California state and federal e-filing procedures
• Experience preparing TOCs and TOAs
• Strong calendaring and deadline management skills
• Comfortable with dictation and transcription responsibilities
• Excellent attention to detail, organization, and proofreading abilities
• Strong Microsoft Office skills, including advanced Word formatting
