Sr. HR Operations Specialist
POSITION SUMMARY
The Sr. HR Operations Specialist supports core HR operations, compliance activities, and shared services processes across the company. This role helps ensure consistent, timely, and high-quality support for employees, candidates, hiring teams, and HR partners while maintaining compliance with federal and state requirements and company policies. This position partners closely with HR, Talent Acquisition, and field operations to support operational excellence, monitor key workflows, and enhance the employee experience across the hire-to-retire lifecycle.
RESPONSIBILTIES
- Serve as a resource to HR, Talent Acquisition, and field operations teams regarding HR operations, compliance-related questions, and shared services processes.
- Maintain and monitor I-9 compliance across all regions, coordinating with regional HR and field operation teams to ensure accurate and timely completion.
- Collaborate with the immigration vendor to assist employees through the visa sponsorship process and ensure documentation accuracy.
- Monitor the pre-employment screening process from initiation through completion, partnering with Talent Acquisition and HR teams to help ensure timely follow-up, issue resolution, and compliance with company standards.
- Support compliance-related reporting such as EEO-1, CA Pay Data, and VEVRAA filings.
- Assist with regular audits of HR data and documentation to ensure compliance with federal and state regulations.
- Provide administrative and operational support for compliance initiatives, training programs, and process improvements that strengthen efficiency and service delivery.
- Support shared services workflows by helping manage intake, triage, follow-up, and resolution of HR requests in a timely and service-oriented manner.
- Help document standard work, maintain process resources, and promote consistent execution across HR operations and shared services activities.
- Build effective partnerships across HR, Talent Acquisition, and business teams to support operational consistency and a positive employee experience.
QUALIFICATIONS
- Bachelors degree in Human Resources, Business Administration, a related field, or equivalent work experience.
- Minimum 5 years of HR compliance, HR operations, or HR generalist experience required.
- Project management experience preferred.
- Experience supporting shared services, employee lifecycle processes, onboarding, or pre-employment screening workflows preferred.
- Working knowledge of federal employment programs, specifically: OFCCP, AAP, EEO-1, and VEVRAA.
- Strong attention to detail with the ability to research, interpret, and apply compliance requirements accurately.
- Demonstrated ability to work collaboratively and build effective partnerships with HR and business teams.
- Excellent organizational, research, and problem-solving skills.
- Proven ability to handle confidential information with discretion.
- Solid understanding of compliance reporting procedures and documentation practices.
- Strong written and verbal communication skills.
- Ability to manage multiple workflows, follow through on details, and provide responsive internal customer service in a shared services environment.
- Experience monitoring process queues, coordinating across stakeholders, and identifying opportunities to improve service levels and process consistency.
