Event Coordinator
Responsibilities:
• Coordinate key conference materials and schedules, including speaker biographies, headshots, session details, and event setup needs.
• Research entertainment options for corporate programs, obtain pricing proposals, and present recommendations for review.
• Oversee branded event signage by gathering vendor quotes, coordinating logo placement, and confirming production details.
• Arrange travel-related logistics such as group transportation and other event support services as needed.
• Manage multiple planning projects simultaneously for events taking place across the organization’s national footprint.
• Support preparation for a large-scale corporate event by tracking details, deadlines, and deliverables tied to speakers and programming.
• Complete administrative and project-based assignments independently, taking ownership of tasks from initial research through final execution.
• Enter and maintain event-related information in internal registration and website content systems with a high level of accuracy.
• Provide on-site coordination support in Portage, Michigan, while also handling day-to-day planning activities in an office-based environment.
Qualifications:
• Experience in administrative support, event coordination, executive support, or a similar detail-driven role.• Proven ability to manage a high volume of work while staying organized and meeting deadlines in a fast-paced setting.
• Strong written and verbal communication skills with the ability to work effectively with vendors, internal stakeholders, and leadership.
• Demonstrated skill in scheduling, calendar coordination, and handling multiple priorities with minimal supervision.
• Confidence using computer-based systems throughout the day, including data entry and user-friendly content platforms.
• Ability to research options, compare bids, and make practical recommendations based on business needs.
• Availability to work on-site in Portage, Michigan for 30–40 hours per week, Monday through Friday.
• Self-motivated approach with the ability to take direction on new projects and move them forward independently.
Compensation
